How do I give access to a new user? Follow

Users are the end-users who work with the application. Adding and modifying user accounts in eContacts requires elevated permissions within this application. Have you been granted UserList admin permissions? Great - Let's add someone else:

  1. eContact administrators: Select the open the Administration\Users menu:
  • Greyed out? Contact your eContact administrators for assistance, often your ISC or Protocol section, depending on post.
  • From the user page, either:
    • Select a user with the same or very similar permissions to those you desire to give for the new user you're adding, and select Record-->Clone
    • Or, to start from scratch, hit the "+ New" button to add an additional user:
  • Set the Login UserName to the user’s OpenNet username. (For Jane J. Doe, enter “DoeJJ”, the portion of their email address before the @state.gov)
  • Set their Post
  • Set their sections appropriately:
    • Select the Section from the Contact Of dropdown list
    • Select Permissions Levels from the Access Limit dropdown list
      • Limited View: Restricted read-only access to "Official" and "Labels" tabs
      • Full Access: can view and edit all data for their assigned section
      • View Only: Can view all data but make no changes to it
      • View Only (Except PA): Can view all data but can only make edits to the PA Data tab
    • To add another Section, click on the + (add) Button next to the Contact Of
  • To delete an added section, click on the – (minus) Button next to the Section
  • Delegate email addresses: Does this user need to send emails or campaign messages on behalf of another user or a shared mailbox? Add each email address and display name here. (eg. Austin-EventRSVP@state.gov and “Austin Events RSVP”)
  • The default permissions are perfect for your normal end-users. Need to give someone else administrative or super user rights? Learn more about eContact permissions.

Troubleshooting:

"User Key already in File" error? You've run into a preexisting user. Re-open the Administration\Users menu and search for the record there. Verify the user's section assignments and permissions there, and verify that the Deactivation Date is cleared or set far in the future. (eg. after an American employee's tour end date.)
