Introduction
A good deal of diplomatic notes out of the management system follow the same format. In the DipNotes application, a drafter can upload a document into the templates repository for the other Drafters at Post to use when needed. That way, the Drafter will not need to start from scratch.
Any user with the Drafter role can also download the DipNote template, and paste whatever information they may need when drafting their diplomatic note.
Uploading a Template
From the left menu, go to My Outgoing DipNotes and click Templates. Then, from the Templates page, click on UPLOAD NEW TEMPLATE button.
The next step is to fill in the template information. Click on the Choose Files button and select the document to upload. Add the document description in the Description field and the office owner in the Template Office Owner dropdown field.
Click Save Template.
Downloading a Template
OPTION 1: From the left menu, go to My Outgoing DipNotes and click Templates. Then, from the Templates page, select the template from the list and click on the Download icon.
OPTION 2: Another option is to download a template while drafting a diplomatic note. From the left menu, go to My Outgoing DipNotes and click Drafting. Then, from the Drafting page, click on the Add New Outgoing DipNote icon.
From the Add New Outgoing DipNote page, select the template from the Templates Available for you to use dropdown field and click Download.
Editing a Template
From the left menu, go to My Outgoing DipNotes and click Templates. Then, from the Templates page, select the template from the list and click the Edit icon.
In the Template - Edit page, the Drafter may replace the document by clicking Choose File. Edit the description in the Description text field and the template owner from the Template Office Owner dropdown field. Click Upload/Save Template to save changes.
