JCAC Chair Action for Nominations
As the JCAC Chair you will need to review the nominations and then take action to move the nomination along in the approval process. By design, the JCAC Chair only votes on nominations in the event the JCAC vote resulted in a tie. You will only be able to access the nominations once all of the votes have been recorded by each JCAC Member. If a nomination is missing one or more votes or a JCAC Member has put the nomination on hold, you will not be able to take any action except to save a comment.
Nominations Pending JCAC Chair Action
To view the pending nominations which need your attention, log in from the JCAC Area, using the JCAC Sign Off link. This will populate the "worklist" you will view for all nominations assigned to your current award cycle.
If you are assigned to multiple awards cycles you will need to use the drop down menu to choose the appropriate cycle.
Once you select a cycle, a list will be generated which contains all of the nominations currently assigned to the JCAC. This list will only have the nominations which are currently pending action from the JCAC and awaiting your sign-off. Once the nominations leave this queue, they will no longer be visible in the JCAC Sign off list for this cycle.
View Nominations Ready for Sign Off
You can easily identify the result of the vote by looking at the icon next to the Nomination ID. There will be a green thumbs up for Approve and red thumbs down for Disapprove. To view the nominations ready for your action or Ready for Sign off you can use the All selection option under "Select Nominations" and a list of all nominations which have been approved or disapproved will appear. To deselect, click None.
JCAC Chair Actions
Once the official votes are recorded by each JCAC Member, you can Sign-off on the nomination. This means your signature will be recorded in the system and the nomination will flow to the next set of approvers. When you expand the nomination by clicking on the arrow to the left of the Nomination ID, you will see the options available for you to take.
Pending Nomination Actions
The Clock icon will appear for all nominations which are either missing official votes or one or more JCAC Members have placed the nomination on hold. The JCAC Chair can only take action in OAS once the nomination has received all of the votes recorded by each member. The official votes are "Approve", "Disapprove" and "Recuse." If the JCAC Member places a vote "On Hold" then they will be required to change the "On Hold' to an official vote before you will be able to take action on the nomination. You can review the Vote Summary in the nomination or use the JCAC Report to identify which JCAC Members need to vote. There are only two actions you can take for nominations in Pending status, Save Comment or More Details.
Open the nomination and click on the Save Comment box. Comments will be visible for everyone within the application except the Nominees. Comments are not printed on the nomination form, they are maintained in the History & Comments associated with the nomination internally within OAS.
Type your comment in the New Comment box and then click Save.
Your new comment will appear in the Your Last Comment box.
More Details will provide more information such as nominator information, expanded justification box, expanded citation box, form of recognition, award amount, History & Comments expanded and the nominee history.
To view the nominee history, click on the nominee names. This will bring up the award history list, to view a previous nomination, click on the printer icon. Click Close when finished to go back to the JCAC Sign off list.
