Pre-Arrival System Action Tasks Follow

What is a System Action? 

A System action is a pre-configured Task Type that is globally available at the System Level of the Arrivals and Departures System. There are several System Actions available for the 3 main core processes :

  • Pre-Arrival
  • Check-In
  • Check-Out

In this article we will show you the System Action tasks that are available for the pre-arrival process.

Pre-Arrival System Actions :

Accompanying Household

Steps to follow :

1. Select System Action from the Task Type drop-down

2. Select Accompanying Household from the System Action Drop-down

3. Continue completing the rest of the Task by entering the Display information, the Assignment information, etc... (See Screenshot below).

Note: The System action task Accompanying Household will need to be assigned to the User and will thus need to be completed by the employee who is going through the Pre-Arrival process. The Owner for this task will typically be the Human Resources Section at post.

Note: Household members that were previously entered in the Employee's profile will be displayed in the Task Completion section. The employee needs to select which Household members will accompany the employee to his gaining assignment. If a Household member is missing in Task Completion then the Employee can add a Household member by clicking on the 'New Household Member' link.

** When the Pre-Arrival process is published then the Task looks like this for the User :

Assignment Residence

Steps to follow :

1. Select System Action from the Task Type drop-down

2. Select Assignment Residence from the System Action Drop-down 

Note: Assignment Residence will need to be assigned to the Service Provider and will thus need to be completed by the Service provider when going through the Pre-Arrival process. The owner of Task will typically be GSO/Housing.

3. Continue completing the rest of the Task by entering the Display information, the Assignment information, etc... See Screenshot below :

** When the Pre-Arrival process is published then the Task looks like this for the Service Provider:

Select Arrival Sponsors

Steps to follow :

1. Select System Action from the Task Type drop-down

2. Select Select Arrival Sponsors from the System Action Drop-down  

Note: Select Arrival Sponsors will typically be assigned to the Service Provider and will thus need to be completed by the Service provider. The owner of the Task will typically be Customer Service Center or the CLO office at post.

3. Continue completing the rest of the Task by entering the Display information, the Assignment information, etc...  see Screenshot below :

** When the Pre-Arrival process is published then the Task looks like this for the User :

Update Profile

Steps to follow :

1. Select System Action from the Task Type drop-down

2. Select Update Profile from the System Action Drop-down

** When the Pre-Arrival process is published then the Task looks like this for the User :

 

Set Arrival Date

Steps to follow :

1. Select System Action from the Task Type drop-down

2. Select Set Arrival Date from the System Action Drop-down

3. Continue completing the rest of the Task by entering the Display information, the Assignment information, etc... - see screenshot below :

Note: Set Arrival Date must be assigned to the User and will thus need to be completed by the employee who is going through the Pre-Arrival Process. The owner of Task will typically be the Human Resources Section at post.

 

 

** When the Pre-Arrival process is published then the Task looks like this for the User :

Note : When the Arrival Date has been updated by the employee then every service provider will receive a Service Provider Notification like this one below:

 

As a service provider click on the notification to find out which P.C.S. has changed his/her Arrival Date :

In the Assignment Details one can see the updated Arrival Date

Household Pets

Steps to follow :

1. Select System Action from the Task Type drop-down

2. Select Household Pets Date from the System Action Drop-down

3. Continue completing the rest of the Task by entering the Display information, the Assignment information, etc... - see screenshot below :

Note: Household Pets must be assigned to the User and will thus need to be completed by the employee who is going through the Pre-Arrival Process. The owner of Task will typically be the Customs and Shipping section at post.

** When the Pre-Arrival process is published then the Task looks like this for the User :

Note : In the Task Completion section the Employee will need to indicate which pets he/she will be bringing to his/her gaining post. Employee can also add additional pet(s) if that should be needed by clicking on the link named Add Household Pet

Household Vehicles

Steps to follow :

1. Select System Action from the Task Type drop-down

2. Select Household Vehicles from the System Action Drop-down

Note: Employee can also add additional vehicle(s) if that should be needed by clicking on the link named Add Vehicle
