ADS will allow users to populate forms using workflow sub-processes and tasks. The form elements can be mapped to process task data when the sub-process is created or edited. The workflow sub-process can be created in Pre-Arrival, Check-In and Check-Out process.
Create a workflow Sub-process and task for a form
A form needs to be published before it can be used in Process Management (Pre-Arrival, Check-In and Check-Out) process. Please see the article “How to Map Forms elements to Employee PCS data and to publish the form?” on how to map a form and publish it.
Please see the article “How will I create a sub-process for in a Process”. To create a “Form Workflow” sub-process, please see Figure-1 below:
- Enter a Name for the sub-process
- Sub-Process Type: Select Form Workflow
- Form: Employee Data Form – New Delhi
- Save the sub-process
Now we need to create a task of type “checkbox” for this sub-process. Please see the article “How will I create a task in a Sub-Process?”

- Task Type: Checkbox
- Display Tab: Set values for “Name, Owning Section and Description”
- Assignment Tab: Set “Assigned To” value to user
- Permission Tab: Employee should have “View/Edit” permission
- Save the task
- Publish the Process
Now that the process is published, it will be available in the employee assignment page.

Complete a workflow task to complete a form
When the employee completes the task from Assignment Details page the form is automatically populated with employee’s Last name, First Name, Phone number and email (Please see Figure-4 below). Please see the Figure-3 below to download the form with data being updated by the workflow.
