Introduction
This article outlines the Collection Clerk Dashboard within the ATLAS Financials system. The details below describe the sections, tabs, and features of the dashboard.
Dashboard Buttons Overview
Within the Collection Clerk Dashboard, there are three primary buttons:
Payment Collection
Collection Report
Add Today's Exchange Rate
The sections below provide detailed information about each option.
Payment Collection
The Payment Collection button directs users to the Payments Collection page, where collection clerks record and manage recipient payments. This area also provides access to the Payment Report, which allows collection clerks to export payment data for reconciliation with external systems such as GBI or RFMS-C.
Collection Report
The Collection Report button (highlighted green) provides quick access to the Payment Report. Collection Clerks can generate a report based on selected dates, posts, and other collection clerks. The exported report displays detailed payment information that can be used for auditing and financial reconciliation.
Add Today’s Exchange Rate
The Add Today’s Exchange Rate button links to the Exchange Rates section within Administration. Here, users can enter or adjust exchange rates for use across the entire mission. Exchange rates may be added manually or through the bulk import feature. Any updates made apply mission-wide, regardless of post.
Collection Clerk Dashboard- Tabs Overview
Within the Collection Clerk Dashboard, users will see three primary tabs in the right hand corner:
Watchlist
My BOCs
Collection (Uploaded Payment Receipts waiting to be Processed)
The sections below provide descriptions of each tab and its purpose within the dashboard.
Watchlist
The Watchlist tab displays all Bills of Collection (BOCs) for which the user is included on the watchlist. When a user creates a BOC, there is an optional Watchlist section where they can add other users to receive status-change notifications. Anyone added to the Watchlist will automatically receive updates whenever the BOC’s status changes. The Watchlist tab also allows users to view all BOCs where they have been added to a BOC's watchlist by other users in the system.
Note: Users do not need to add themselves to the Watchlist for BOCs they create - BOC creators are automatically included.
My BOCs
The My BOCs tab displays all Bills of Collection (BOCs) where the user is the recipient. This section is divided into two parts:
My Open Bills of Collections – shows all BOCs assigned to that user that are currently open.
My Closed Bills of Collections – shows all BOCs assigned to that user that have been closed.
A Post dropdown allows users to switch between posts to view their open or closed BOCs for each location.
This tab does not display BOCs they've created; it only shows BOCs where the user is the designated recipient.
Collection: (Uploaded Payment Receipts waiting to be Processed)
The Collection tab displays a red numbered notification indicating how many uploaded payment receipts are awaiting processing. This tab allows collection clerks to easily identify payments that require their action, such as reviewing and adding payment receipts. It serves as a quick-access tab for managing pending payment-related tasks.
