Adding a New Key Officer Follow

Introduction

The ATLAS Directory allows users to add Key Officers, providing functionality that previously existed in the Post Profiles application. Users with the roles of Directory Administrator, Key Officers Manager, or Post Profile Manager can create a new Key Officer from the Administration drop-down menu.

 

Accessing the Key Officers page

To begin adding a new Key Officer.

Navigate to Administration > Manage Key Officers.

On the Manage Key Officers page, click the Create New button.

In the Create New Key Officer page, enter the details.

The form contains several fields, some of which are required and marked with a red asterisk (*):

  • Post (required): Select the current post of the Key Officer from the drop-down list.
  • Key Officer Role (required): Choose the Key Officer's role from the available options.
  • Backup Role (optional): If the Key Officer has a backup role, you can select it from the drop-down list. If no backup role is needed, you may leave this field blank.
  • Link To (required): This field shows how the Key Officer’s information is linked. Choose how the Key Officer will be linked, either to a position, an employee, or entered manually. 

 

    • Position: Link the Key Officer to a specific position within the organization.

    • Employee: Link the Key Officer to an existing employee record.

    • Manual: Enter the details without linking to an existing record or position. If this option is selected, you must provide the following:

      • Name (required): Enter the full name.

      • Email (optional): Enter the email address. 

      • Phone (optional): Enter the phone number if available. This field is optional but useful for direct contact.

      • Arrival Date (optional): Provide the arrival date. This field tracks the officer's tenure in the post.

Review all entered information to ensure accuracy and completeness.

Note: Upon saving, the system will validate the required fields. If any required fields are left blank (ex. Post, Key Officer Role), an error message will appear prompting you to fill in the missing information.

Once all fields are filled, click the Save Changes button to add the new Key Officer.
