Keeping Up with ATLAS Directory Data 

While the ATLAS Directory application is very intuitive, there are a few data points that should be periodically monitored to ensure the data in the Organization’s instance remains up-to-date and users are provided the best possible product. Below is a list of the pages that require periodic monitoring/updating and the navigation to locate each page: 
 

  • Contact Health Check: The Contact Health Check is a tool that flags all detected errors in your Organization’s instance. The types of common errors flagged in the health check can be: when employees have departed post and need to be deactivated from the Organization, when there are duplicate assignments for an employee, when position numbers are assigned to more than one employee, etc. Many of the errors displayed on the Contacts Health Check page can be resolved without leaving the page by selecting an action in the “Fix selected assignments” button dropdown that displays when a contact has been selected.
    • Navigation: Contacts dropdown > Contact Health Check

       

  • Contact Lists: Contact Lists should be monitored periodically as employees at post change to ensure the Contact List is displaying the correct information. Contact Lists are dynamic and will update as employees depart and a new employee is assigned the position.
    • Navigation: Contacts dropdown > Manage Contact Lists 

       

  • Registrations: Administrators should monitor the Registrations to ensure access is being granted to TDY employees. If an employee is on TDY at post, their job may require temporary access to the Directory instance. Employees on TDY will request temporary access to the instance upon arrival and their request displays on the Registration page where Administrators can approve or reject access to the instance after reviewing the requestor’s profile information.
    • Navigation: Contacts dropdown > Registrations

 

  • Key Officers: The Key Officers page should be monitored periodically as employees at post change to ensure the correct employee is listed as the Key Officer for each Key Officer role at all times.
    • Navigation: Administration dropdown > Manage Key Officers

 

  • Organizational Charts/Phone Trees: Org Charts and Phone Trees should be monitored periodically as employees at post change to ensure they are displaying the correct information. Org Charts and Phone Trees are dynamic and will update as employees depart and a new employee is assigned the position.
    • Navigation: Administration dropdown > Manage Org Charts or Manage Phone Trees

 

  • Positions: As employees arrive and depart from post, Positions must be assigned to the employee’s profile in order for the data on Contact Lists, Org Charts, and Phone Trees to update correctly. Positions are synced from ATLAS Directory to ATLAS Profile and must be updated in order for the position data in all ATLAS apps to remain accurate. One of the requirements for US Direct Hires to access the AFN Now streaming service is being assigned to a position in the instance. This is another important reason position data must remain up to date in the Directory. 
    • Navigation: Administration dropdown > Manage Positions

 

  • Holidays/Closures: Each year, the Holidays and Closures must be manually imported to the instance via an ICS file. These can be uploaded via the Federal Holidays Wizard on the Manage Holidays page. Another option is to upload them by completing a basic google search for “(insert year) US Federal Holidays ICS File” and copying and pasting the ICS code into the instance. You can complete this format for your post’s local holidays or you can add each holiday/closure one-by-one manually. 
    • Navigation: Administration > Manage Holidays/Closures
