Introduction

This article will walk users through the interface for managing user registrations in the Atlas Directory. The steps below explain how to navigate to the Pending Registrations page, view registration details, and edit or update user information as needed.

 

Accessing the Employees

Navigate to Contacts > Registrations to view all registrations that are awaiting action.

 

Key Features Overview

This page displays all pending registrations, showing key details such as Name, Status, Email, Organization, Arrival/Departure Date, Assignment ID and other fields.

  • Pending: The Pending status is the initial stage for new registrations that have been submitted but not yet reviewed. This feature allows administrators or authorized personnel to evaluate registration requests before approving or rejecting them.

  • Approve: The Approve feature allows administrators to finalize and activate a pending registration. This feature is crucial for granting users official status and enabling them to fully utilize the application.

  • Inactive: The Inactive feature allows administrators to manage users who no longer need access to the system or whose assignment has ended. When a user’s assignment ends or they no longer require system access, their registration can be marked as Inactive. 

 

Managing Registrations

To view more details or edit a registration, click on the eye icon under the View column next to the registration entry.

Editing Registrations

After selecting a pending registration, users will be redirected to the Edit Registration page. Here, they can update the user’s personal and assignment information.

 

Personal Information:

  • First Name, Last Name, and Middle Name: Fill in or update the individual’s name details.
  • Preferred Name and Preferred Pronoun: Specify the user’s preferred name and pronouns if applicable.
  • Job Title: Enter or confirm the user’s job title.
  • Employment Type: Select the type of employment from the dropdown menu (e.g., L2 Staff).
  • OKTA Account: Provide the user’s OKTA account information if available.
  • Biography: Enter a brief biography for the user, if necessary.

Assignment Information:

  • Status: Ensure the registration status is set to Pending until you are ready to approve or reject it.
  • Arrival/Departure Date: Input the arrival and departure dates for the assignment.
  • Position: Specify the user’s position within the organization.
  • Section, Building, Floor, Room: Select or enter details about the user’s workspace.
  • Tags, Radio Call Sign, Required Radios: Add any tags, radio call sign, or specific radio requirements as needed.
  • Out Of Town: Toggle this option if the user is out of town.
  • Enable Tandem Radio Notifications: Enable notifications if necessary.
  • Deactivate On: Set a deactivation date if the registration is temporary.

 

Approving or Rejecting Registrations

Once you have checked all necessary details, scroll to the bottom of the Edit Registration page.

Choose one of the following options:

  • Approve: Once all registration details have been reviewed and verified, administrators can click Approve. This action changes the registration status from Pending to Approved.
  • Reject: Reject the registration if it does not meet the necessary criteria.
  • Cancel: Discard any changes made.
