Introduction

ATLAS Workflows users are registered in the application with either a State Issued Account <user>@state.gov or an ADG Issued Account <user>@departmentofstate.onmicrosoft.com. Once registered, users may link existing State Issued Accounts with an existing or new ADG Issued Account. Alternatively, if registered with an ADG Issued Account, users may then link it to an existing State Issued Account. 

 

Setup and Manage Logins

A State Issued Account and an ADG Issued Account may be linked by the user as long as the ADG Issued Account being added HAS NOT previously registered in the system.

There are two options when linking your accounts:

Option 1: You have a State Issued Account and would like to link it to an existing or new ADG Issued. Option 2: You have an ADG Issued Account and would like to link to an existing State Issued Account. 

 

Option 1: To link to an existing or new ADG Issued, follow these steps: 

1. Go to the Dashboard menu and scroll down to For Service Provider and click Manage Logins.

2. The Okta Account Linking Management page shows all the accounts without linked Okta accounts. You may choose which account to verify. You can either search for the Name or select from the list available. Click the Add Okta Account button and it will open the Update Okta Email window.

3. In the Update Okta Email window, click the Verify/Save button to verify if an Okta account exists for this email account.

If it exists, then no further account is required for Manage Logins and continue to add the existing user in the New Employee section. However, if the Okta account does not exist, click the Create Okta Account button to create the account.

Option 2: To link to an existing State Issued Account, follow these steps: 

1. Go to the Dashboard menu and scroll down to For Service Provider and click Manage Logins.

2. On the Okta Account Linking Management page, you will find a link called Link Registration to Existing Account.

The All Pending Registrations page will appear and shows the list of registrations that are pending processing.

Note: Once a user self-registers, the request appears on the Pending Registrations page.

In the All Pending Registrations page, the Service Provider will select a pending registration.

Select the icon on the right side of the registration entry.

Service Providers with the appropriate permissions are then able to approve or reject the registration. If registration will be rejected, a Rejection Reason is required. If the registration is approved, fill in the appropriate information. Fields highlighted in yellow are required fields. 

 

Okta Accounts

1. Go to the Dashboard menu and scroll down to For Service Provider and click Manage Logins.

This page shows all the accounts with linked Okta accounts.

2. On the Okta Account Linking Management page, click the Okta Accounts link.

3. This page shows all the accounts with Okta accounts. You may choose which account to verify. You can either search for the Name or select from the list available. Click the Add Okta Account button and it will open the Update Okta Email window.

Import and Export the Data

This page also allows you to import and export the data.

Import Data

At the left upper buttons list, click the Import button and it will redirect to Importing Account Emails from the Excel page.

On the Importing Account Emails from the Excel page, you can choose from the two templates available:

1. If you select the Download Excel Template link, an "empty" template will be downloaded.

  • If you open the template, you will see these columns on the first line: Name (Required), Account Email (Required), Post, Position, Primary Email, and Okta Email (Required).
  • Starting with the second line, fill in the values according to the header. 

2. If you select the Export Accounts in Excel Format link, all accounts from the table list are exported.

  • Complete the attribute fields.

3. Go to Step 2 and click the Choose File to upload.

  • Select the template file to import and click Open to begin importing the file to the system.
  • Click the Import button. A validation process runs to make sure that the file is properly formatted and the matching criteria are met.
  • Click the Complete Import button.

Once successfully imported, the window will automatically close.

 

Export Data

There are three export buttons available:

  • The first option, we have is the Excel button, allowing us to export the data in a new workbook.
  • The second option, we have is the CSV button, allowing us to simplify the conversion of the XLSX (XLS) table.
  • The last option, we have the Clipboard button, allowing us to copy output to the clipboard.
