Introduction
Amending a Bill of Collection (BOC) is used when a BOC requires corrections or updates but is still valid for processing. Rather than voiding and starting from scratch, the Amend BOC feature allows users to revise an existing BOC efficiently. This process voids the original BOC and automatically generates a new draft populated with the same information, which can then be edited and resubmitted. Amending a BOC also resets the BOC’s timeline, using the date the amendment is submitted or approved as the new effective date.
Steps to Amend a BOC
To amend a BOC, follow the steps below:
-
Locate the BOC
Navigate to the My Initiated Bills page and use the filters or search bar to find the BOC you wish to amend. -
Open the Edit Option
Click the Edit Icon on the right side of the screen to open the My Initiated Bills – Edit page for the selected BOC. -
Access the Ellipsis Menu
In the upper-right corner of the edit page, click the ellipsis (three dots) to reveal additional actions. -
Select “Amend BOC”
From the dropdown menu, choose Amend BOC. -
Make Necessary Amendments
Once in the desired BOC, make the necessary amendments to the content or information. -
Enter a Comment
A prompt will appear requesting a comment. Provide a brief explanation for why the BOC is being amended. -
Confirm the Amendment
Click Amend Bill of Collection to proceed. The original BOC will be voided, and a new draft will be created with the same details, ready for editing.
Note: In the upper-right corner of the page, users can access key actions such as Cancel to return to the My Initiated Bills page.
Important Considerations
- Amending vs. Voiding: Use the Amend BOC option when the bill is still valid but needs corrections in order to fully processed. If the BOC is no longer needed or was created in error, use the Void Bill option instead.
- Timeline Reset: Amending a BOC resets the BOC’s timeline. The new draft will reflect the date it is submitted or approved, which may impact billing schedules or deadlines.
- Editable Draft: After amendment, the new draft can be edited as needed before resubmission.
