Combining Sequential and Parallel Workflow in a Single Form Follow

Form owners can now mix parallel and sequential workflows within a single form. This enhancement allows you to design approval processes that are both flexible and structured, depending on your needs.

  • Parallel Workflow: In sections set to parallel, multiple signers can sign in any order. This is useful when approvals do not depend on a specific sequence.
  • Sequential Workflow: In sections set to sequential, signers must sign in a defined order. This is ideal when each approval depends on the previous one.

 

Setting Up The Workflow

 

  1. Create a New Form
    • From the header, click +ADD FORM
    • Upload your document(s) and click Sign (or Merge and Sign for multiple documents)
  2. Configure the Workflow Type

    • On the form page, go to the document information bar
    • Locate the Workflow dropdown and select Workflow in Parallel
  3. Add a Parallel Workflow Step
    • In the Signature Workflow panel, click Add New Step.
    • In the Edit Workflow Step window, the option Complete in Any Order is automatically selected. 
    • Assign the step to one or more users by clicking on the Okta Search button.

  • Steps with the two merging arrows represent parallel workflow steps, allowing users to sign in any order.

 

4. Add a Sequential Workflow Step 

  • Create a new signature step and place the new signature block on the form
  • In the Edit Workflow Step window, select "Requires All Previous Steps to be Completed." 
  • Assign the step to a user and click Close.
  • Sequential steps are represented by a sequential icon in the Signature Workflow panel. 

In the above example. The first and second signers receive email notifications and can sign in any order. Once both have signed, the third signer is notified and must sign before the fourth signer is notified.
