What is a Task?
A Task is an assignment or process that an Employee or Service Provider needs to accomplish within a Workflow. However, not all tasks are the same. There are seven different Task Types, and each one requires different actions from an Employee or Service Provider.
Checklist Tasks
These tasks allow you to create your own checklist with Checklist Items. Checklist Task settings can be found under the Checklist Settings tab, located at the bottom of the Edit Task screen.
Completion Tasks
These allow you to send a notification when something has been completed and further action is needed. Completion Task settings can be found under the Dependencies tab, located at the bottom of the Edit Task screen.
Data Collection Tasks
These tasks allow you to collect data from other tasks. Data Collection Task settings can be found under the Data Collection Settings tab, located at the bottom of the Edit Task screen.
File Upload Tasks
These tasks allow you to upload a file. This type of task only requires you to fill in the standard Add A New Task settings:
- The Display Label
- The Task Reporting Key (You can always just copy and paste the Display Label)
- The Task Instructions
- Assigned To
Electronic Signature Tasks
These allow you to electronically sign a document with a timestamp. This type of task only requires you to fill in the standard Add A New Task settings:
- The Display Label
- The Task Reporting (You can always just copy and paste the Display Label)
- The Task Instructions
- Assigned To
System Action Tasks
These tasks allow you to request someone to enter data and/or to update the areas within a system. System Action Task settings can be found under the System Action Settings tab, located at the bottom of the Edit Task screen.
Yes/No Tasks
These allow you to enter a Yes or No answer. Yes/No Task settings can be found under the Yes/No Question Settings tab, located at the bottom of the Edit Task screen.
Similarities Between Task Types
Although each task type is different, they all share a few common aspects that are worth mentioning.
- All Tasks must be made within a Task Group.
- All Task Groups must be made within a Workflow.
- All Task Types are accessible under the Task Dropdown Menu
