Award Types in OAS
OAS has two Award Types, Annual and Anytime, each with a distinct approval process workflow within the application. Nominators can create and submit nominations throughout the year. The Award Type selected by the nominator will determine when HR can process the nominations. Annual Awards are processed during an open Awards Cycle and workflow through the JCAC and EXEC per policy. Anytime Awards can be processed any time during the year with Management or Custom Approval workflows. HR Admins can control the award types available to nominators when they create a new nomination.
Global Award Type Settings
Now HR can manage all of the award types available to nominators from Global Award Type Settings. Award Types available to nominators are no longer linked to the award types available in the Awards Cycle. Award types can be deleted by Mission Admins, so if an award type was created by accident or no longer needed, you can delete this award type from the Global Award Type Settings.
Managing Award Types
In the Award Type Settings, you can define the settings for every award type to include creating custom award types, deleting award types, determining the form of recognition per award, identify eligible employee types for each award type and allocating minimum and maximum cash values and time off.
View Award Types
From the left hand menu, go to the Mission Admin Area and select the Awards Settings link.
You will be taken to the Global Awards Settings page, where a list will populate with all the award types used by the Mission.
Choose the Anytime or Annual toggle to display the award types available in your mission.
Add Custom Award Type
You can add award types which are unique to your Bureau, Mission or Post. These award types can be edited at anytime.
Click on Add New Award.
You will be prompted to enter information about the award.
Award Name should be a unique name, if it is a duplicate of an existing award type, delete the duplicate first.
Approval Process Type will determine the approval workflow, Annual routes the nomination through JCAC and EXEC while Anytime will route through Management and/or Custom Anytime Approvers.
Form of Recognition: Select Certificate Only, Cash Only, Time-off Only, or Cash or Time-off to define the form of recognition available for this award.
Employee Type will define the nominee type eligible for this award by choosing LE Staff Only, USDH Only, or Both LE Staff and USDH.
Criteria outlines the eligibility requirements for the reward which should be addressed in the justification by the nominator.
3. Click Save when you have made a selection for each field. The new Award Type will appear in the Global Awards Settings.
Activate/Deactivate Awards
All award types will appear in the Global Mission Award Type Settings. IMAP awards will already appear in both the Anytime and Annual Award Type lists in your Mission's Global Mission Award Type Settings. All Custom Award Types added to OAS will also appear in your Mission's Global Mission Award Type Settings. You will control which award types are available to nominators using the Global Mission Award Type Settings Active feature.
Upon deployment, all nominations are set to Inactive, you will need to take action to make the appropriate selections. Note all the Active toggle buttons are currently deselected.

To make the Award Type visible to nominators, you must set the toggle to Active.

Edit Award Types
All IMAP Awards are preloaded in OAS. Only certain properties associated with IMAP awards can be edited, depending on the Award Type selected. Criteria, Form of Recognition, Process Type and Delete cannot be edited for IMAP awards. You also cannot determine if an award is an IMAP award, these awards are identified in the IMAP policy and updated by System Administrators.
You can click on the Edit icon from Global Mission Award Type Settings.
2. In the popup window you can define the criteria for the existing award type.
Form of Recognition drop-down menu is used to choose an option, some IMAP Award Types will be limited as defined by the IMAP Policy.
Employee Type drop down is used to define which nominees should be added to the award LE Staff Only, USDH Only or both LE Staff & USDH. Please note there is no validation in the application for this selection. The icons in the dropdown menu will appear in OAS, but will not print on the nomination form or award certificate. This is intended to serve as a visual guide for approvers.
Minimum and Maximum Cash and Time-off Hours should comply with Department and Bureau guidelines, there is validation against the policy when you update these values. Keep in mind these values are not enforced for the Nominator.
Criteria can only be edited for Custom Award Types you have added, this option will not appear for IMAP Awards.
3. Click Save when finished.
Delete Award Types
You can now Delete Award Types created by HR as a custom award type. If you create an Award Type and notice that you already have a similar existing award, you can Deactivate or Delete. Deleting the Award Type will not affect nominations already created or in the approval process flow. When you Delete the award type it will be removed permanently from the Global Mission Award Type Settings. If you want to use the deleted Award Type again, you must Add New Award to recreate the deleted Award Type.
Click Delete from the Global Mission Award Type Settings.
Click Yes in the Delete Confirmation pop-up to permanently Delete the Award Type.
