EFM Okta Account Requests

In ATLAS Welkom Center, we offer the option for users to request an Okta account for EFMs to access the application.  This article explains (to Site Access Managers) how to open an EFM account request and how to approve or reject the account request.

 

Opening a Request for an Okta Account as Site Access Manager

WARNING: This option is only for requests that must be approved immediately!

 

At the top bar of ATLAS Welkom Center, click on Site Access and from there, select Access Requests.

To add a new request for an EFM Okta account click Add New User.

A new window opens with a fillable form.  Complete each field in the form.  The Notes field is optional, however we kindly ask that you add some information as a point of reference.  For example, this is my partner, or this is my kid. 

Click on Save Changes.

Your request will now appears as approved.  To review the request, click on the Pencil icon.

 

 

Approving an EFM Account Request Sent by a USDH

At the top bar in ATLAS Welkom Center click on Site Access and then Access Requests.

A new window will open, displaying a list with account requests.  You can sort the requests by clicking on any Column Title. 

To edit a pending request, click on the Pencil icon on the right side of the row.

A new window will open, displaying the request information.  Please review the information carefully before approving the request.  Pay special attention to the Okta Account Status field.

The Okta Account Status field shows you whether or not the requested Okta account already exists.  If the status is False, the account does not exist and you can approve the request by clicking on  the Approve button.  If the status displays True, the account already exists and you must reject the request by clicking on Reject

 

After Accepting/Rejecting, a green banner will pop up at the top of screen verifying the approval.

 

The new user will receive an email from Okta to activate the account and to setup the MFA password.  The requester will receive an email from ATLAS after the request is placed.

The requester will also receive an email after the approval has been completed.

 

Approving an EFM Account Request

Navigate to the Site Access and click on Access Requests.

Open a request by clicking on the Pencil icon on the right side. 

Review the request information, paying particular attention to the Okta Account Exists field.  If False is displayed, the Okta account does not exist and you can approve this request by selecting Approve.

A green banner will pop up at the top of screen verifying the approval.

The requester will receive a request approval email notification from ATLAS Welkom Center.  The EFM will receive an email at the listed account and must activate the Okta account, setting up a password including MFA.

 

Rejecting an EFM Account Request

If you want to reject an EFM account request, click the Reject button in the upper  right corner.

This message pops up.  Please click OK.

The requester will now be notified about the rejection. 

We recommend sending an email to the requester informing the requester of the denial and reasoning behind it.  If there is already and Okta account in place and it is deactivated, the user can take action at the log-on screen.
