Vote on Assigned Nominations

As a Bureau Awards Committee Member you will be responsible for voting on all nominations assigned to your committee by the Bureau Awards Coordinator (BAC). You will not be able to view or vote on any nominations until the BAC has assigned the nominations and the Voting Start Date has arrived. The BAC will define the Voting Start Date when they create the awards cycle. It is possible for you to be assigned to multiple concurrent cycles.

View Nominations

To view the nominations, from the left menu go to Bureau Committee and click Voting.

This will open a list of all nominations which have been assigned to the cycle which appears in the Cycle drop-down menu. 

Cycle will default to the most recent cycle, however if you are assigned to multiple cycles, you will need to use the menu to select a specific cycle other than the default cycle.

Total Nominations will have a number count of all nominations assigned to the Bureau Committee for voting in the cycle displayed in the Cycle drop-down menu.

Total Nominees will have a number count of the nominees assigned on the assigned nominations.

Bureau Committee Information will display the user(s) assigned as the Chair and the number of members assigned to the committee. To view the names of the assigned committee members, hover over the person icon. 

Global Filter can be used to search for a specific nomination.

Nominations will appear as a list, click anywhere on the nomination to view more information.

Review Nominations

You can view some information when scrolling through the list such as the Nomination ID, Award Type, Approved Cash/Time-off, Nominee List and Vote Summary. 

Click anywhere on the nomination line to expand the nomination and review more information such as the Justification and Nomination. When the nomination is expanded, you will also find the Voting Buttons.

If you would like to view more information about the nomination you can click More Details to expand the view. You will also have more information such as information which is only available in the More Details view. Click Close/Cancel to exit this page.

1. Submitted Date is the date the nomination was submitted by the Nominator.

2. Nominator Information provides details about the Nominator such as their Position Title, Agency and Section.

3. Reason and Type displays the type of award and reason selected by the Nominator. OAS also specifies if the nomination is a group or individual award.

4. Nominee List provides the award history of each nominee (note the history starts from the date the application is deployed in a Mission).

5. Justification is expanded for easier viewing.

6. Citation is expanded for easier viewing.

7. History & Comments record comments saved throughout the nomination life cycle and tracking for actions taken. History & Comments entered in the approval process are hidden from the Nominator and Nominees.

Record Vote

Once you have reviewed the nomination, you will need to record your vote by selecting from one of the voting buttons displayed.

Approve requires no further action, just select the Approve button and your vote will be recorded.

Disapprove requires you to add a comment as justification for your disapproval.

On Hold indicates you wish to discuss this nomination with the other Committee Members and/or the Committee Chair.

Recuse allows a Committee Member to abstain from voting.

Save Comments provides Committee Members to enter a comment about the nomination which will be visible to HR and the Bureau Committee Chair.

To record a vote of Disapprove, On Hold or Recuse first click on the action button you wish to take (example below shows Disapprove selected). In  the New Comment box enter a comment then click Save Comment and Disapprove (the action would be replaced with a different name if you selected an action other than Disapprove). 

Now when you look at the voting buttons, the action button you selected is highlighted and your vote has been recorded in the nomination and the vote summary.

In this case you selected to Disapprove so the Thumbs Down has a vote count updated. You can hover over the icons to view the names of each committee member's recorded vote.

Committee Members can change their vote until the Bureau Committee Chair signs off on the nomination. To change a vote, open the nomination and click the action button you would like. The nomination will update immediately and you will be able to change your vote until the nomination is approved and no longer appears in your queue.
