How to Make Nominations Available for the Bureau Committee Chair to Take Action
You may encounter the Bureau Committee Chair requests to move a nomination before all of the Bureau Committee Members have completed their voting. When this happens you have three options to make the nomination available for the Bureau Committee Chair. The action you take will depend on the number of votes you need to move and the number of votes missing from each nomination. If the nomination is only missing one vote, you may want to Sign in on Behalf of the Bureau Committee Member and Recuse them. This would allow you to remove their obligation from recording a vote to influence the outcome of the committee vote. If there are several votes missing, you might want to just move the nominations to the Chair with only the recorded votes to determine the outcome. Or if the Bureau Committee Member has stopped voting, you can remove them from the Cycle and this will remove their requirement to record a vote.
Nomination Missing One Vote
If all the Bureau Committee Members have entered their votes and the Bureau Committee Chair cannot take action because they are waiting on one Bureau Committee Member to enter their own vote, as the Bureau Awards Coordinator, you can impersonate their profile and enter a vote of Recuse. This is essentially officially not entering a vote to determine the outcome of the nomination.
From the left menu, under Bureau Coordinator, select Sign in on Behalf of User.
You will then need to enter the name of the user profile you want to impersonate and click Start Impersonation when you see the correct user profile.
You can confirm you are impersonating the user profile by checking the upper right corner of the screen. Notice that your name will say you are Signed in on Behalf of the user name you are impersonating. Remember if you are a Bureau Awards Coordinator for more than one bureau, use the dropdown menu to select the appropriate bureau.
On the left menu, under Bureau Committee, click on Voting.
Open the nomination you are looking for and click Recuse.
You will be required to enter a comment which will be available to the Bureau Committee Chair, Voting Member and Bureau Awards Coordinators. Save Comments and Recuse when you are finished.
Since this is the last vote missing, the Bureau Committee Chair can now take action on this nomination.
Nomination Missing Multiple Votes
When a nomination is missing multiple votes, as the BAC you can recuse multiple voting Bureau Committee Members at once. The nomination must have at least one recorded vote of Approve, Disapprove, Downgrade or Recuse before you can take this action.
Select the nominations which you want to make available for the Bureau Committee Chair to take action, you will notice only nominations missing at least one vote will not have a box to select. Click Send Selected Nominations for Signoff when you are finished. Now these nominations will be removed from the Bureau Committee Members to vote.
Remove Bureau Committee Member from Voting
When a Bureau Committee Member stops voting, you may need to remove them from the Panel which will also remove the requirement for their vote and allow the nomination to move forward.
From the left menu under Bureau Coordinator, click on Cycles.
Select the Cycle you want to edit, then click on Pencil icon in the Edit Column.
Once you open the Cycle, click on Roles.
To remove a voting Bureau Committee Member, simply click the "X" next to their name. If you need to add another Bureau Committee Member, type their name. Click Save when you are finished. The nominations will update with the voting member removed.
