Radio Inventory

The Radio Inventory tracks all radios at a Post and helps ensure that every radio is properly recorded, assigned to the correct agency, and trackable across its lifecycle.

Each radio entry includes identifying information such as Radio (4-digit identification number), Organization, Agency, Issued To, Call Sign, Model, AIM Tag, Serial Number, and whether it is Exempted upon being added to the inventory. 

Once a radio is issued to an employee or location, it will appear on the Radio Information page with assignment details.

 

Accessing the Radio Inventory

To view Post's Radio Inventory, navigate to: Radio > Radio Inventory.

 

Overview of the Interface

This page displays all radios currently in the system for your Post.

Filters:

At the top of the page, you’ll find dropdown menus and fields to filter the radio inventory:

  • ICASS Agency: Filter radios by the agency they are assigned to.
  • Post: Filter by Post (if managing multiple posts).
  • Assigned: Filter radios by assignment status.
  • Exempted: Filter by whether radios are marked as exempted.
  • EAC Member: Filter by whether the radio is assigned to an EAC member.

You can also use the Search bar to quickly locate a specific radio or entry.

Table Columns:

The inventory table provides key information about each radio:

  • Radio: The unique 4-digit identifier for the radio.
  • Organization: The post or mission to which the radio belongs.
  • Agency: The agency responsible for the radio.
  • Issued To: Who the radio is currently assigned to (if applicable).
  • Call Sign: The unique call sign assigned to the radio.
  • Model: The model or type of the radio.
  • AIM Tag: The asset identification number for inventory tracking.
  • Serial Number: The manufacturer’s serial number.
  • Exempted: Whether the radio is marked as exempt from routine schedules.
  • EAC Member: Indicates whether the radio is assigned to an EAC member.

 

Adding Radios

To add a radio to the inventory, you have two options:

1. Bulk Import:

Click the Bulk Import button.

Download and complete the Excel template provided.

Upload the file to import multiple radios at once.

2. Individual Entry:

Click the Create New button.

Enter the required radio details.

Once all information is filled out, click Save Changes to create the new radio. To discard changes, select Cancel.

 

Managing Radios

Locate the radio in the table.

Click the Edit (pencil) icon to update its details.

On the Edit Radio page, you can also view:

  • Agency and post details
  • Previous users and assignment dates
  • Assignment History section

Add Photos: Allows you to upload and attach photos of the radio for identification, documentation, or reference purposes.

The Assignment History section provides a chronological log of all users or locations the radio has been assigned to. This includes:

  • Status
  • Employee Name
  • Call Sign
  • Start and end dates of each assignment

 

Assigning Radios

To assign to employee, click the ellipsis button (⋯) button > Assign to Employee.

A form will appear where you can fill in the necessary details.

The Add Radio Assignment form allows administrators to assign an available radio to a specific employee with just a few steps.

  • Radio: Select the radio you wish to assign.
  • Employee: Select who will be assigned the radio.
  • Terminate any existing assignment for the radio
    • Toggle On if the radio is currently assigned to someone else. This ensures the radio is released from its old assignment before being reassigned.
    • Toggle Off if no prior assignment exists. 

Once all information is filled out, click Assign Radio to create the new Radio Assignment. To discard changes, select Cancel.

 

Deleting Radios

To assign to employee, click the ellipsis button (⋯) button > Delete.

The system will automatically delete the assignment and display a confirmation message.

 

Exporting Data

You can export the radio inventory data using the available tools above the table:

  • Excel: Download the full table in Excel format.
  • CSV: Export data in CSV format.
  • Copy: Copy data directly to your clipboard for pasting into another document.
  • Columns: Customize which columns to display before exporting.
