Overview

The Email Templates section under the Radio module allows administrators to create, customize, and manage standardized email messages for radio check events. These templates ensure consistent communication and reduce repetitive manual entry.

 

Accessing the Email Templates

To view or manage Email Templates, navigate to: Radio > Email Templates.

 

Overview of the Interface

The Email Templates page provides a searchable and exportable table of all saved templates.

You can use the Search bar to quickly find templates by name or subject.

Table Columns:

The main table displays details of the email template, including:

  • Name: Title of the email template.
  • Subject: Email subject line used when sending.
  • Audience: Who the email will be sent to.

 

Adding an Email Template

To create a new email template, click the Create New button at the top-right of the page.

You’ll be taken to the Create New Radio Email Template page where you can configure the following:

  • Template Name: Internal name for the template.
  • Template Description: Enter a short, optional summary or note that describes the purpose or content of the template.
  • Audience: Choose the target group for the email.
    • All Participants: Sends the email to all users assigned to the event or check, regardless of status.
    • Participants Missing Radio Check: Sends the email only to users who have not yet completed their radio check. This is useful for follow-up or reminder notifications.
    • Participants Completed Radio Check: Sends the email to users who have already completed their radio check. Often used to confirm successful participation or to send a thank-you message.
  • Subject: The subject line for the outgoing email. You can include dynamic fields here to personalize the message.
  • Body: The main message body (rich text supported). You can also insert dynamic fields to automatically populate personalized information.

Email Preview Panel

As you fill in the Subject and Body, the right-hand Email Preview panel updates in real-time. It shows how the final message will appear to recipients.
If you’ve included template variables (ex. {{employeeName}}), these will render using sample values so you can preview how personalization will look in the actual email.

Template Fields (Dynamic Variables)

These template variables pull live data from the system and insert it into your email automatically. They help personalize each email without manual edits.

💡 These variables can be used in both the Subject and Body of the email. When the email is sent, they will be automatically replaced with actual values for each recipient.

Once all information is filled out, click Save Changes to create a new email template. To discard changes, select Cancel.

 

Managing an Email Template

To edit an email template, click the Edit (pencil) icon to update its details.

Make necessary changes to the name, subject, audience, or body.

Click the Save Changes button.

 

Deleting an Email Template

To delete an email template, click the ellipsis button (⋯) button > Delete.

The system will automatically delete the email template and display a confirmation message.

 

Exporting Data

You can export the Radio Check Entries data using the available tools above the table:

  • Excel: Download the full table in Excel format.
  • CSV: Export data in CSV format.
  • Copy: Copy data directly to your clipboard for pasting into another document.
  • Columns: Customize which columns to display before exporting.
