IAHB and Housing Assignment - Temporary Records for New Residence Commissioning

Overview:

Temporary records have been enabled in ATLAS Housing to facilitate the commissioning of new residences into the Housing Pool. This temporary record system allows the IAHB voting process to proceed without requiring RPA integration until the lease start date.

Key Details:

  1. Temporary Record Creation in ATLAS Housing:
    • Local administrators can create temporary records for properties.
    • This feature allows Posts to proceed with the IAHB voting process without immediate reliance on RPA.
    • The temporary record will behave as a standard property record in ATLAS.
  2. Property Details and Media Management:
    • Administrators can upload photos, attachments (documents, videos, URLs), and other media to ATLAS.
    • This information supports IAHB Members in reviewing and voting on commissioning a new residence.
  3. Post-IAHB Process and Lease Finalization:
    • Once the lease is officially signed, the temporary record in ATLAS must be added to RPA.
    • The details entered in RPA must match those in ATLAS for consistency.
  4. Integration and ID Matching:
    • The RPA-ID and Lease ID must align between RPA and ATLAS.
    • This ensures the temporary record is updated as an official record in the Housing Pool once the IAHB process is completed and the lease is signed by both the Embassy and the landlord.

Creating and Managing Temporary Records in ATLAS Housing

Instructions for Adding a Temporary Record:

  1. Accessing the Residences Menu:
    • Navigate to the Residences Menu in ATLAS Housing.
  2. Opening the Housing Pool:
    • Click on the Housing Pool option.
  3. Adding a Temporary Record:
    • Select the Add Temporary Record button.
    • A new window will open where you must complete all required fields.
  4. Completing the Form:
    • Fill out all the requested information in the provided fields.
    • Note: If any mandatory fields are missing, the system will notify you when you click “Submit.”
  5. Custom Fields and Preferences:
    • All custom fields and preferences from the Housing Questionnaire are available.
    • These fields are optional and do not need to be completed for the temporary record.
  6. Submitting and Locating the Temporary Record:
    • Once submitted, the temporary record will:
      • Appear in the Housing Pool.
      • Be listed on the Temporary Records page.
      • Function as a standard residence profile.
  7. Filtering Temporary Records in the Housing Pool:
    • To exclude temporary records from the Housing Pool view, use the Advanced Search filter.

Using Temporary Records for IAHB Recommendations:

  • The Housing Board Organizer can use temporary records as housing assignment recommendations.
  • Follow the standard process for presenting recommendations to IAHB Members.
