Improved Role & Access Management Experience

We’ve made some key updates to help you better understand and manage roles and user access within the application. Here’s what’s new:

  • Updated Role Descriptions Page

We’ve refreshed the Role Descriptions page to now display both role names and their descriptions in one place.

This enhancement makes it easier to understand the purpose of each role, helping you select the most appropriate ones for your team with confidence.


Miscellaneous Enhancements

Main Dashboard Enhancements

  • Upcoming RSO and POSHO Certificate Expiration dates

We’ve added new functionality to the Main Dashboard in ATLAS Housing. Local administrators can now view upcoming certificate expiration dates for RSO and POSHO directly from the dashboard.

How to Configure This Feature

  • Navigate to Housing Pool.

  • Click on the residence where you want to add certification information.

  • In the top-right corner of the screen, click Edit.

  • Scroll down to the Certifications section.

  • Enter the correct expiration dates for RSO and POSHO.

  • Click Save.

Once saved, this information will appear both on the Residence Profile page and in the Main Dashboard, providing quick visibility into upcoming certificate renewals.

 

 

  • Incoming Occupants Tentative Tour dates

When adding Incoming Occupants to ATLAS Housing, local administrators now have the option to mark a tour date as tentative if it has not yet been fully confirmed.

By enabling the “Is Arrival date tentative” option, the system will clearly display this status both on the Main Dashboard and within the Occupant’s Profile.

This enhancement helps all parties involved in the housing assignment process stay informed and aware of which tour dates are still pending confirmation. 

 

 

  • Access Control Page Enhancements

Managing user access is now clearer and more efficient. On the Access Control page (found under the Configuration menu), you can now:

  • Easily see which roles and user groups each person belongs to
  • Quickly add or remove roles
  • Update group memberships, including for users who have already departed

These improvements are designed to streamline access management and reduce administrative overhead, especially helpful for managing staff transitions.

  • Reporting Enhancements

Housing Assignment Date Now Available

We’ve added a helpful update to the Reporting page!

The Housing Assignment Date is now included in the Housing Board Matrix Report, giving you improved visibility and tracking of housing assignments.

This enhancement makes it easier to monitor assignment timelines and manage housing logistics more effectively.

  • Residence Portal Configuration Enhancements

Helpful Update: Clearer Field Labeling

We’ve improved the “Edit Housing Instance” page under Manage Local Settings by updating the wording for a configurable field.

This small change helps make the field’s purpose clearer, so it's easier to understand and configure correctly.

  • Housing Pool Page Enhancements

The RPA Property ID and Unit ID are now displayed in separate columns on the Housing Pool page.

  • This enhancement makes it easier to view and manage property details at a glance, helping you quickly identify and differentiate between properties and units

New Filter Option: “Type” of Residence Now Available on Housing Pool Page

  • You can now enable the “Type” of residence filter directly from the Housing Pool page.
  • This new feature allows you to customize the Housing Pool chart to display residence types, giving you better data insights and improved visualization for housing management.

  • Housing Questionnaire Enhancements

Local Administrators can now use the Preview button directly on the Housing Questionnaire Configuration Page. This allows you to quickly review your questionnaire setup before finalizing, making it easier to ensure everything looks perfect.

  • Housing Assignment Enhancements

Change from Temporary Quarters to Official Housing Assignment

We’ve added a new feature that allows local administrators to update an assignment from Temporary Quarters to Official Housing Assignment if it was selected by mistake.

Please note, this option is intended only for special cases where the assignment was incorrectly set. If the Temporary Quarters and Housing Assignment information are accurate, this feature should not be used.

We encourage careful use of this functionality to ensure data accuracy.

  • IAHB Housing Assignment Enhancements

ADG has introduced a new option that allows Posts to seamlessly switch between Direct Voting and Yes/No Voting, and vice versa. This added flexibility enables Posts to adapt the voting flow based on evolving local circumstances, helping to streamline the process and better support operational needs.

After setting the recommendations, you will be directed to the Voting Set page, where you can select the voting process that best suits your needs.

For example, if you initially select Direct Approval, you can begin the process by selecting the relevant properties. However, if at any point the IAHB members together with the Housing Board Organizer or General Services Officer decide to switch to the Yes/No Voting process, you can easily do so by clicking on "Change Review Method."

You’ll be prompted to provide a justification (e.g., “IAHB Approved”), and once submitted, the selected voting method will update. From there, you can continue seamlessly with the IAHB Housing Assignment process.

 

  • Inspection Portal Enhancements

We’ve improved the options available when creating an inspection within ATLAS Housing to make the process more intuitive and efficient.

  • Using the Inspection Portal
    Simply access the Inspection Portal and select Create Inspection. You’ll be directed to a new page where you can easily add issues, upload photos, attach relevant documents, and provide detailed information specific to the case.

  • From the Residence’s Profile
    Navigate to the Housing Pool page and locate the residence for which you want to initiate an inspection. Scroll down to the Go to Inspections for this Residence section, then click Create Inspection. From there, you can add issues along with photos, attachments, and all pertinent details related to the inspection.

We’ve made it easier to manage and assign inspection-related tasks:

  • Assign Issues to Users or User Groups: When creating issues within an inspection, you can now assign them directly to specific users or user groups for faster follow-up.

  • Expanded Use of User Groups: User groups, previously used for managing tasks within Commissioning, Make Ready, and Decommissioning processes, can now also be used for Inspections and Issue Inspection Tasks.

These improvements ensure that responsibilities are clearly defined, collaboration is smoother, and workflows stay on track from start to finish

  • A new History option has been implemented, enabling users to track and review the chronological sequence of each inspection over time

We’re excited to introduce several updates that make managing inspections simpler and more efficient! Local administrators can now:

  • View Inspections by Category: Quickly see inspections and any related issues, organized by category for easier navigation.

  • Customize Your View: Show or hide the inspections panel to focus on what matters most.

  • Streamline Your Workflow: Expand or collapse all inspections related to a property for a clearer, more organized experience.

  • Recover Deleted Inspections: Easily view deleted inspections and reinstate them to the main Inspection Dashboard within the Residence Profile.

  • Access the Main Inspection Portal: Jump directly to the central Inspection Portal for full visibility and control.

These enhancements are designed to give you more flexibility and control over your inspection management experience.

 

  • Processes Dependencies Enhancements

The ADG and ATLAS Housing Team are excited to announce the introduction of Dependencies for Process and Inspections Tasks.

This enhancement allows you to manage task completion in a more structured and efficient way. With dependencies in place, you can ensure that all prerequisite tasks and related requirements within processes and inspections are completed before moving forward helping your team stay organized and maintain high-quality standards throughout every workflow.

How to Start Using Task Dependencies

To begin using the new Dependencies feature, you’ll need to add it to your Process Templates. Follow these simple steps:

  1. From the Configuration menu, click Processes Config.

  2. Select the Process where you want to start adding dependencies.

  3. First, make sure all the relevant Tasks for that process are added.

  4. Organize the tasks in a logical order that aligns with your workflow at Post.

  5. Click Add Task or Edit Task.

  6. Scroll down to the Task Dependencies section.

  7. Click Add Dependency, then select the corresponding task you want to set as a dependency.

  8. Click Save.

You can repeat these steps for each task within a process template. This feature is available for all process templates where local administrators choose to enable and use dependencies.

 

  • My Assigned Tasks Enhancements

The My Assigned Tasks tab has been enhanced to provide a more integrated experience with Inspections and Processes Configuration.

With this update, task completion is now directly connected to the Dependencies defined in your Process Templates. This ensures that all prerequisite tasks are completed before moving on to the next step, improving accuracy and consistency across your workflows.

Example:
In the Decommissioning Process, the task “Send Termination Letter to the Landlord” is dependent on completing the task “Review Lease Expiration Date and Any Other Clause.”
This means you won’t be able to mark the termination letter task as complete until the dependency task is finished. If you attempt to do so prematurely, the system will display an error message prompting you to complete the dependent task first.

 

 

Bug Fixes

  • Issue Resolved: “Skip Make Ready” Function Now Working Correctly

We’ve fixed an issue where the “Skip Make Ready” option on the Residence page wasn’t functioning as expected.

Now, when you select to skip the Make Ready process, the system will automatically create a vacancy for that property. This ensures it becomes available for housing assignment recommendations exactly as intended.

Please also note that you can now either assign the property by clicking “Add Assignment” or choose to “Start a Make Ready” process whenever needed.


 

 

  • Issue Resolved: Duplicate Houses No Longer Displayed When Adding Assignments

We’ve improved the Assignments workflow to prevent confusion caused by duplicate Housing Assignments.

Previously, users could see multiple listings for the same house when adding new assignments. With this update, the system now automatically filters out duplicates, ensuring that only unique house entries are shown during the selection process.

Please note that this enhancement filters duplicates for clarity but does not restrict the creation of new housing assignments if needed.

  • Issue Resolved: Duplicated Residences

We’ve identified an occasional issue where duplicate residences appear after importing data from RPA into ATLAS Housing. To help you resolve this quickly, we’ve introduced a solution that allows you to merge these duplicate properties with ease.

How to merge duplicate residences:

  1. Navigate to the Housing Pool page.
  2. Click on Merge Residences.
  3. Select the Duplicate Residences tab, where you’ll see the residences and related tables available for merging.
  4. From the Residence & Tables to Merge section, choose the two residences you want to merge from the drop-down menus.
  5. Select the specific data you wish to merge or simply click Merge All to combine everything.
  6. And finally click on the right top corner of the screen on "Merge"

This feature should help streamline your data and keep your records accurate.



 

Issue Resolved: Inspection Report Email Notifications Restored

The issue affecting the sending of PDF Inspection Reports via email has been resolved.

Inspection Reports can be successfully sent to all users, including Embassy Staff, Landlords, and USDH.
